Junior Business Process Management Officer

Quintet has embarked on an ambitious transformation journey and we see process standardization as a key efficiency enabler, allowing us to find synergies across the Group, move in future to a more harmonised IT Architecture and ensure a front-to-back collaborative way of working whilst reducing operational risk. A dedicated function to drive Process Management has been created, and we are currently seeking a junior candidate to join this team.
The role will be a hybrid one, encompassing both the coordination and upkeep of the Group's documentation, including policies, procedures, and process maps, as well as the review and optimization of processes across the Group. The ideal candidate should have a previous experience in project or process management, preferably within the wealth management or banking industry, and any previous experience in regulatory / corporate governance / business support would be advantageous. The successful candidate will be an enthusiastic change agent, capable of supporting senior colleagues and contributing to the achievement of agreed objectives, deliverables, and timelines. They will assist the team in deploying a consistent methodology to optimize front-to-back processes across the Group,
This role offers a unique opportunity for a motivated individual to contribute to a significant transformation in a complex environment across five countries – Luxembourg, Belgium, the Netherlands, Germany, and the UK.
Travel across Quintet offices is required punctually.
Key Accountabilities
- Support cross-functional teams in re-designing and optimizing processes front-to-back, aiming to improve client and employee experience, increase efficiency and reduce operational risk.
- Support and collaborate with key stakeholders, including Process Owners, to help obtain buy-in on redesigned processes across functions and locations
- Translate process pain points and issues into tangible solutions and projects– define scope, milestones, key dependencies including technological implications, develop project plans, track progress, identify and escalate risks & issues to senior management
- Ensure that Group Documentation (Policies, procedures, process maps) are drafted, approved, published, and implemented in line with the Group governance requirements
- Contribute to the harmonization of our internal process & control documentation, collaborating closely with Process Owners and Risk and Compliance teams to ensure all key processes, risks & controls are documented according to our internal guidelines
- Support the reporting to the AMC/Board on Group Documentation status and embedment in the organization
- Help facilitate change, address resistance, and promote a culture of continuous improvement by being a supportive change agent towards Document Owners and Process Owners
- Demonstrate a strong “can do attitude”, finding solutions to the problems and challenges raised with a hand-on approach
Knowledge and Experience
- Bachelor or Master degree in Business Administration or Engineering Sciences
- 2-4 years of experience in financial services required
- 2 years’ experience in a process or project management function is a strong plus
- Banking industry experience: deep expertise in front-to-back (private) banking processes, products and services is crucial.
- Process management: previous experience in process management, analysing and optimizing business processes to enhance efficiency, reduce waste, and streamline operations is a great asset
Attributes and Qualities
- Regulatory and corporate governance knowledge in the banking sector across Europe is also important.
- Strong organisational skills, ability to manage multiple initiatives, whilst balancing overlapping requirements from both a resource and topic perspective, in the most efficient manner.
- Communication & collaboration: ability to develop strong interpersonal relationships and manage various stakeholders across the Group efficiently.
- Analytical and written communication skills: ability to derive key messages from data and present findings in a compelling story to senior stakeholders
Technical Skills
- Project management qualifications e.g. Prince 2, PMP
Languages Skills
- Fluency in English is a must
- French is desired
- German & Dutch are additional advantages
